Tuition and Class Policies

2023-2024 REGISTRATION AND TUITION PAYMENT INFORMATION

PAYMENT POLICIES: Studio W Dance tuition is based on an entire season of dance. Our season runs from July 31, 2023 – July 27, 2024. All dancers are required to pay for the entire season.  If you enroll mid-season we will prorate your tuition based on when you begin dancing with us. Tuition is not based on attendance. There is NO refund for missed classes as we provide make-up options. An up to date payment method must be stored in our secure, encrypted system that allows for automatic monthly payments. A registration fee of $105 (new students only) is due at the time of registration and is non-refundable. All monthly payments are due the 1st of each month, August 2023 – July 2024, and will be automatically billed to the card on file on the 10th of each month. You have until the 9th of each month to opt to pay a different way if you do not wish to use your card on file. Monthly tuition does not include costume, performance, competition or camp fees. On the 10th of each month, the card on file will be charged the full account balance for any and all outstanding fees.

All monthly tuition payments, costume payments, competition fees, performance fees and camp fees will be auto-drafted to the card on file. You will be emailed a receipt after your tuition is auto-drafted. Costume payments will be auto-drafted on August 20, 2023 for the Winter Show, and on January 20, 2024 for the Summer Show. During the first week of classes in both August and January, we will announce the exact performance fee amount. This will be approximately $150 and will include 2 tickets, a commemorative t-shirt and more. Once the exact fee amount is determined, this fee will be auto-drafted with your next tuition payment, usually the second tuition payment of the semester.

RECEIPT OF PAYMENT: You will not receive a billing statement or invoice prior to any charges, however, you will receive a receipt of payment each month after the auto-draft.

LATE FEE: If your card on file is declined, an alternate payment must be made within 48 hours. A $15 Late Fee will be charged for any payments not made in full by the 12th of the month. This includes declined charges for cards on file for any reason.

PAYMENT AUTHORIZATION: I hereby authorize Studio W Dance, LLC. to charge my credit or debit card for all services and products related to my family’s enrollment in classes and activities at Studio W Dance, LLC including but not limited to tuition, supplemental materials, special events, costumes, concert or bi-annual show fees (Performance Package), accessories, etc. Fees are subject to change. If I elect to pay annual tuition via monthly installments, I understand that my credit or debit card will continue to be charged on the monthly, session or periodic basis unless I notify the studio in writing 30 days before intent to discontinue via email to mrsamanda@studiowdance.org and receive an acknowledged returned response from Studio W Dance, LLC staff. I understand that it will not be sufficient notice to merely tell an instructor or other employee of our intent to discontinue. I have read this entire agreement and understand that I will be held fully responsible for its terms and conditions of service, including a 30-day written notice by email to Studio W Dance, LLC of any intent to discontinue. I understand that once the monthly installments for my annual tuition, my bi-annual show fees or my bi-annual show costume fee have occurred there will be no refund given if I decide to discontinue. I agree to notify Studio W Dance, LLC immediately of any change in the status of my charge account including but not limited to card expiration, name change, limitation of use, loss or theft of the card, etc. In the event that the amount charged is refused for whatever reason, I accept responsibility for full payment for the amount charged as well as an NSF fee of $35.00.

CUSTOMER PORTAL: Each family will have a portal to process payments, register for classes, etc. It is your responsibility to keep all info (contact info, payment info, etc.) up to date. You can sign up or log in on the homepage of our website. Please contact mrsamanda@studiowdance.org with any questions about your portal and/or account info. In this portal, when registering a parent or guardian will need to sign off on all the policies below.

CURRENT/CONTINUING STUDENTS: Please check and confirm your contact, payment information, and dancer’s school grade is correct and up to date. Once you have registered, please verify all your classes are correct by logging into your customer portal.

ASSUMPTIONS OF RISK & WAIVERS OF LIABILITY 

PHOTO RELEASE: I, hereby, grant Studio W Dance permission to use my child’s photograph/video for promotional purposes and/or social media and Studio W Dance’s website.

RELEASE OF LIABILITY: I understand dance can be a strenuous activity and accept responsibility for any injuries my child may incur while participating in any activity at Studio W Dance. Studio W Dance and its employees are not liable for personal injury, or loss of or damage to personal property.

ASSUMPTION OF THE RISK AND WAIVER OF LIABILITY RELATING TO CORONAVIRUS/COVID-19:
The novel coronavirus, COVID-19, has been declared a worldwide pandemic by the World Health Organization. COVID-19 is contagious and is believed to spread mainly from person-to-person contact. 

Studio W Dance will make every effort to keep our studio sanitized and to prevent symptomatic employees and dancers from entering the building. However COVID-19 has been proven to be asymptomatic in some persons. Therefore, Studio W Dance cannot guarantee that you or your child(ren) will not become infected with COVID-19 or any other unknown virus. 

By signing this agreement, I acknowledge the contagious nature of COVID-19 and voluntarily assume the risk that my child(ren) and I may be exposed to or infected by COVID-19 by attending Studio W Dance and that such exposure or infection may result in personal injury, illness, permanent disability, and death. By signing this agreement, I agree that my child and any accompanying persons will not enter Studio W Dance if we exhibit any symptoms of COVID-19.

I voluntarily agree to assume all of the foregoing risks and accept sole responsibility for any injury to my child(ren) or myself (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that I or my child(ren) may experience or incur in connection with my child(ren)’s attendance at Studio W Dance. On my behalf, and on behalf of my children, I hereby release, covenant not to sue, discharge, and hold harmless Studio W Dance, its employees, agents, and representatives, of and from the Claims, including all liabilities, claims, actions, damages, costs or expenses of any kind arising out of or relating thereto. I understand and agree that this release includes any Claims based on the actions, omissions, or negligence of Studio W Dance, its employees, agents, and representatives, whether a COVID-19 or other currently unknown virus infection occurs before, during, or after participation in any Studio W Dance program or class.


REGISTRATION FEES: A non-refundable one-time registration fee of $105 for each family is due upon registration in addition to your first month’s tuition payment. Payment in full is required for the registration fee, first month tuition installment, and any show fees, if applicable. You will receive a payment confirmation email once your payment has been processed.

CLASS ENROLLMENT: Studio W operates on a year-round schedule. All enrollment is ongoing unless you notify Studio W in writing via mrsamanda@studiowdance.org. We love this model as it encourages our dancers to keep up with their training. If your class is canceled for a session due to low enrollment, your dancer will be transferred to a comparable class after you’ve received notification. Upon your receipt of this notification, you have the option to confirm or drop the class. If you do not confirm or drop, you will be automatically transferred and your automatic payments will continue. For the months of June, July and August only we will prorate your tuition if we are notified in advance of any vacation dates or absences. We know that family vacation time is important and want you to be able to enjoy your summer. This will enable you to keep your spot in class even if it’s full and to only pay for what you’re able to attend.

WITHDRAWAL POLICY: We require a 30-day written notice via email prior to the automatic payment on the 10th of each month if you need to withdraw from Studio W Dance. Please email mrsamanda@studiowdance.org to withdraw from our 2023-2024 season. After the 30-day notice, we will terminate your monthly autopay. Please note that if you give notice less than 30 days before the next payment is scheduled, you should expect to make one last tuition payment even if you have not attended classes. This withdrawal policy remains in effect even if we have a shelter in place mandate from the federal, state or local government. In the event of a shelter in place, classes will convert to virtual classes and instruction will continue. There may be an approximate one-week transition period from the date of the shelter in place order until virtual classes begin in order to allow us to implement our action plan. This brief time period, if needed, will be treated as inclement weather days, meaning your dancer can choose a convenient make-up class from an appropriate class on our schedule. No refunds will be given for this week. Please call or email to sign up for your make-up class. Remember that a 30-day written notice will still be required for withdrawal.

MAKE-UP CLASSES: If your dancer misses class due to illness or other personal reasons, they will be able to make up the missed class in a similar class. There will be no discount or refund given for missed classes. There are no make-ups for classes missed when the studio is officially closed for holidays, etc. All classes missed due to inclement weather can be made up at your convenience using our existing class schedule. Make up classes are only valid while you are actively enrolled in classes at Studio W. If you drop all classes, your make up classes are void.

UNEXPECTED VIRTUAL CLASSES: If we are mandated to close our physical location due to any government order, classes will convert to virtual classes and instruction will continue. We have had great success with all ages in our virtual classes and are confident we can continue to engage our dancers should the need arise. There may be an approximate one-week transition period from the date of the shelter in place order until virtual classes begin in order to allow us to implement our action plan. This brief time period, if needed, will be treated as inclement weather days, meaning your dancer can choose a convenient make-up class from an appropriate class on our schedule. Bi-Annual Shows: We produce two fabulous shows each year with all Studio W dancers. The show weeks (including tech and dress rehearsals) are TBD. This is an exciting and rewarding part of the season that everyone looks forward to! We encourage all dancers to participate! Stay tuned for 2023/24 show details to be released in July! 

Bi-Annual SHOW COSTUMES: Costume costs are generally $70.00-$110.00 per costume purchase or $25 per costume rental. Some classes will need to purchase and some will need to rent. You will receive the exact amount for the winter show costume fees in August 2023 & the summer show in January 2024. Costume fees will be auto-drafted on August 20, 2023 & January 20, 2024. After fees are processed, they are not refundable for any reason. Any costume alterations needed will be the responsibility of the parent/dancer. Your exact fees and costume(s) will be announced during the first or second week of each session. If your dancer will not be participating in a show, notify us by email to mrsamanda@studiowdance.org no later than August 12, 2023 for the winter show & January 15, 2024 for the summer show. Please do not rely on your dancer to inform us that she or he will not be dancing in the show!

Performance Package: In the beginning of each session, we will announce the exact show fee amount, referred to as the Performance Package. This will be approximately $150 and will include 2 tickets, t-shirt and more. Once the exact fee amount is determined, this fee will be auto-drafted with your tuition payment on September 10, 2023 & February 10, 2024. All performance package fees are nonrefundable.

SHOW TICKETS: Tickets to our shows will need to be purchased. Dancers performing in the show do not need a ticket. More information on Show Tickets, including when they will be available to purchase, will be included in the Show packet released a month before each show. The ticket cost will be announced in the packet when more of the show details come out! In order to ensure all dancers have the opportunity to have their immediate family watch them dance in the show, we may limit the number of tickets each family may purchase for a designated time period. After the designated time period, if tickets are still available, we may lift the limit and open ticket sales to everyone. Note: 2 tickets will be included in your performance package fee.

DRESS CODE: Proper shoes and attire must be worn to participate in class. Hair should be pulled back off the face for all classes. A proper bun must be worn for ballet class. Don’t forget to write your name in all shoes, bags, etc. You can find descriptions and examples of the proper attire for each class in the Dress Code section of our website.

GENERAL RULES:  Please discuss these rules with your dancers! Thank you!

  • No food or drinks other than water inside the studios. Please no sugary drinks as they are sticky if spilled. No exceptions!
  • No cell phones, smart watches (like Apple Watch), smart earphones (like Air Pods) are allowed in the dance rooms at any time. If they are inside a dance bag, they should be turned off. If dancers are wearing these in class, they will be asked to remove and take to front desk staff for safekeeping until class is over.
  • Studio W is a large, public place, so please keep an eye on your children, no running or climbing on furniture PLEASE!
  • All children must be accompanied by a parent/guardian at all times unless they are in class. Younger dancers are NOT permitted to walk downstairs alone. Please come to the lobby to pick up your dancer.
  • Siblings are always welcome to accompany parents and hangout in the lobby and use our games, books or snack cart but they MUST be supervised by a parent/guardian! If a dancer has a break in between classes it is okay if they are in the lobby without a parent for that brief time, however if a sibling is waiting for a sibling in the lobby, an adult must be present. No dancers/siblings can be left in the lobby without an adult in the building!
  • All personal belongings may be kept in the dressing room or in the cubbies in the lobby. Studio W is not responsible for items lost or left behind. Please make sure you check for all your belongings before leaving the studio.
  • Pre-Dance Parents: Please take your dancer to the restroom BEFORE class begins to avoid accidents and disruptions to class.
  • Please make an effort to be punctual! Excessive tardiness to class could result in being asked to sit out if you miss the warm up portion of class. Excessive tardiness picking up your child will result in additional fees.
  • No parents, friends, or siblings are allowed in the dance rooms at any time. This is for the benefit of your dancer. They will learn more if we have their complete attention.
  • If you choose to watch class through the window, please choose one week out of the month to stay and watch. Space is limited, so this will let all the parents have a turn to watch & ensure that your dancer is getting the most out of class.
  • If your dancer drops a class, a 30-day written notice is required. You will be responsible for payment until the written notice is received and the 30 day period has passed.
  • For the safety of our dancers, we typically follow WUSD’s decisions on inclement weather/wildfire/global pandemic school closings. However, you should always use your own judgement when deciding to travel due to weather. We will confirm our closing via email when inclement weather affects Studio W Dance. We will also communicate all schedule changes on Band as well! No refunds for inclement weather. All classes missed due to inclement weather can be made up at your convenience using our existing class schedule.
